When an external party wishes to receive material from, or transfer material to, a researcher at Columbia University, CTV can help put in place a Material Transfer Agreement (MTA). CTV reviews all incoming and outgoing MTAs to ensure that the interests of the University and its researchers are protected. Receiving Materials

Columbia investigators who request material from a third party may receive an MTA from the provider investigator or institution. When submitting the agreement to CTV, the Columbia investigator should complete the following steps:

  1. Download and complete the MTA-in Request Form (Word). This form provides CTV with information to aid its review of the provider’s MTA. Please note that it must be filled in by the Principal Investigator of the lab.
  2. E-mail the MTA and completed MTA-in Request Form to mta@columbia.edu. Please forward any e-mail correspondence with the provider as well.

A Contracts Officer will be assigned to review the MTA. The Columbia investigator will receive an automated e-mail containing the contact information of the officer, who will contact the Columbia investigator if more information is needed. In order to comply with Columbia University policies and guidelines and limit the restrictions placed on the investigator, revisions to the MTA may be necessary. If this is the case, the Contracts Officer will negotiate the terms with the provider. CTV will copy the Principal Investigator on all substantive e-mail correspondence unless he/she requests otherwise. When the MTA is ready for execution, CTV will coordinate signatures with the Columbia investigator and the provider institution.

Sending Materials

Columbia investigators who wish to transfer material to a third party should complete the following steps:

  1. Download and complete the MTA-out Request Form (Word). This form provides CTV with information on the material and transfer to draft an appropriate MTA. Please note that it must be filled in by the Principal Investigator of the lab.
  2. E-mail the MTA-out Request Form to mta@columbia.edu. Please forward any e-mail correspondence with the requester as well.

Once CTV receives the Request Form, the request will be assigned to a Contracts Officer and the Columbia investigator will receive an automated e-mail containing the contact information of the officer. The officer will review the Request Form, prepare an MTA, and e-mail the MTA to the requester for processing. CTV will copy the Principal Investigator on all substantive e-mail correspondence unless he/she requests otherwise. When the requester returns a signed copy of the MTA, CTV will circulate a PDF copy to the Columbia investigator and authorize the release of the material.

Request a CDA/NDA

Columbia investigators who need a confidentiality or non-disclosure agreement with an investor or industry representative should complete the following steps:

  1. Download and complete the CDA Request form (Word). This form provides CTV with information to aid its review.
  2. E-mail the outside party provided agreement, if provided, and completed CDA Request Form to cda@columbia.edu. Please forward any e-mail correspondence with the provider as well.

The Columbia investigator will receive an automated e-mail containing the contact information of the CTV Contracts Officer assigned to the case. If any revisions are required to comply with Columbia University policies the Contracts Officer will negotiate the terms with the provider and will copy the Principal Investigator on all substantive e-mail correspondence unless s/he requests otherwise. When the CDA is ready for execution, CTV will coordinate signatures.
